Agency Workflow Specialist

The Operations Specialist (OS) is the glue that keeps projects and people together at Blakely. They bring the required skills and leadership to effectively manage campaigns from inception to completion within the agency. The OS is the consummate collaborator who brings stakeholders together to problem solve and ensure successful outcomes. They are the key conduit for the project management of all campaigns and are responsible for working with internal teams to ensure all campaigns run smoothly from initiation, planning, executing, monitoring, and closing projects while ensuring they are completed on time and within scope. The OS has a strong understanding of the marketing campaign process from planning and execution to creative, data, digital, direct mail, and print production workflows.  

Must Haves

  • Demonstrated understanding of project management methodologies, processes, and tools; Project Management certification preferred 
  • Superior skills in project management within an agency environment 
  • Understanding of Creative, Data, Direct Mail, Print, and Digital Marketing process and timelines  
  • Able to effectively manage competing priorities 
  • Strong communicator with excellent verbal and written communication skills 
  • Able to lead and collaborate with teams; build internal and external relationships 
  • Flawless attention to detail, organized, and self-motivated 
  • Enjoys working in a fast paced and creative environment 
  • Proficient in MS Office Suite; previous experience in project management software  

Responsibilities

  • Project Management / Campaign Trafficking   
    • Central point of contact for all departments on campaigns 
    • Builds campaign schedules and templates according to scope, and proactively manages all client and internal campaigns and schedules for the duration of each project 
    • Traffics campaign milestones daily and attends Traffic management meetings for team updates 
    • Proactively facilitates communication among stakeholders in all project phases, including task updates, action items, feedback, next steps, project development, and status  
    • Flags potential impacts to timing with teams; leads and mitigates risk while working quickly to resolve issues throughout the campaign process 
    • Ensures the cross-functional project team is meeting the objectives and goals of each project on time and on budget 
  • Agency Process Optimization and Innovation   
    • Continuously seeks and implements improvements in project management processes to enhance efficiency and effectiveness 
    • Implements process improvements within agency channels  
    • Explores innovative solutions to better the agency; identifying cost savings where applicable and confirms feasibility of proposed ideas  
  • Training: Development and Improvement 
    • Train internal teams on systems, processes, and onboarding  
    • Support the Senior Project Manager with agency-wide improvement initiatives as required  
  • Ad-hoc Assignments 
    • Provide support to internal stakeholders and other duties as required

Salary Range: The starting salary range for this position is $50,000-$70,000, commensurate with experience. In addition, a comprehensive benefits package including health, dental and vision care, 3 weeks vacation plus an additional 9.5 Blakely days off (half day Fridays before each long weekend and the office is closed for one week at the end of December each year). 

Location: This is a location flexible position. The successful candidate will be able to choose where they do their day-to-day work either from home or the Blakely office, located in Aurora, ON. This position can also be fully remote and is considered remote if you live more than 150 kilometers from the Blakely office. Maintaining a good working relationship is key to success, for non-remote workers, there will be a requirement to come into the office occasionally for meetings and meet in person with clients as the role requires. For remote workers, there will be a requirement to come to the Blakely office for in-person meetings approximately 4-6 times per calendar year and occasional travel for in person client meetings dependent on the client and Blakely needs, with reimbursement for travel based on Blakely’s policy.
