Agency Workflow Specialist

The Agency Workflow Specialist (AWS) is the glue that keeps projects and people together at Blakely.


The AWS has a bird’s eye view of all projects within the agency and is responsible for working with internal teams to drive successful campaign outcomes. They bring their big picture thinking and proactive approach to coordinate departments and effectively traffic direct mail and digital marketing campaigns from initiation to completion. This role works closely with Account Managers to ensure tasks are completed on time, and within scope and budget. The ideal candidate has a strong understanding of creative, data, digital, and print production workflows.

Must Haves

  • Demonstrated understanding of project management methodologies, processes, and tools; Project Management certification preferred 
  • Superior skills in project management within an agency environment 
  • Understanding of Creative, Data, Direct Mail, Print, and Digital Marketing process and timelines  
  • Able to effectively manage competing priorities 
  • Strong communicator with excellent verbal and written communication skills 
  • Able to lead and collaborate with teams; build internal and external relationships 
  • Flawless attention to detail, organized, and self-motivated 
  • Enjoys working in a fast paced and creative environment 
  • Proficient in MS Office Suite; previous experience in project management software  

Responsibilities

Project and Trafficking Management / Operational Administration

  • Manage or Monitor marketing project workflow and delivery; act as central point of contact for all departments
  • Build project schedules according to scope; oversee task accountability for the duration of each project
  • Prepare and consistently update the project milestones status report and attend daily Traffic management meetings for team updates
  • Proactively facilitate communication among stakeholders in all project phases to ensure deliverables are being met
  • Determine risk and continency planning for projects
  • Ensure cross-functional teams are meeting the objectives of each project on time and on budget

Agency Process Optimization and Innovation

  • Continuously seek and implement improvements in project management processes to enhance efficiency and effectiveness
    • Implement process improvements within agency channels
    • Explore innovative solutions to improve agency operations

Training: Development and Improvement

  • Train internal teams on systems, processes, and onboarding
    • Support the Senior Project Manager with agency-wide improvement initiatives as required

Ad-hoc Assignments

  • Provide support to internal stakeholders and other duties as required

Salary Range: The starting salary range for this position is $50,000-$70,000, commensurate with experience. In addition, a comprehensive benefits package including health, dental and vision care, 3 weeks vacation plus an additional 9.5 Blakely days off (half day Fridays before each long weekend and the office is closed for one week at the end of December each year).

Location: This is a location-flexible work from home position, within Canada.  Maintaining a good working relationship is key to success, so we gather our entire team together 3 – 4 times a year in Aurora, ON. There will be department meetings or 1 on 1 meetings with your manager in person required throughout the year.  For those that live 150KMs or more away from Aurora, ON we cover all travel expenses in line with Blakely’s travel policy. In addition, if you are in a client facing role, there will be in person client meetings required, dependent on the client and Blakely needs, with reimbursement for travel based on Blakely’s travel policy.
